Appointment reminders that cut no-shows without phoning anyone

Context

  • Reception phoned every patient the day before to confirm.
  • The calls took the whole morning and still only reached about half of them.

The problem

  • Gaps discovered only once the patient hadn't turned up, impossible to fill at that hour.
  • One person tied up calling instead of serving the people at the desk.

What I did

  • Automatic reminders at 48 and 24 hours through the patient's preferred channel.
  • A reschedule button that needs no call: the slot is released in the diary instantly.
  • An internal notice when a slot frees up, so it can be offered to the waiting list.
  • A record of who confirms and who doesn't, holding no clinical data in the workflow.

Result

  • A gap is known hours or days ahead rather than at appointment time.
  • Reception gets the morning back for the people in front of them.
