Context
- The real state of the work was split between a list, several email threads and two people's heads.
- Every Monday an hour went on sharing what was already written down somewhere.
The problem
- Nobody looked at the list unless prompted, so things sat still with nothing flagging it.
- Stuck tasks only surfaced when the customer chased.
What I did
- A daily first-thing flow composing one email per person: due today, overdue, stuck more than N days, closed yesterday.
- Grouped by owner rather than by project: each person gets theirs and nothing else.
- A weekly summary for management with what has been stuck longest and where it stands.
- Direct links: the email opens the task, not the whole list.
Result
- What's stuck surfaces on its own, without anyone having to remember to check.
- The weekly status meeting was dropped.
